The CRM Assist pipeline: HubSpot deals in an editable grid

HubSpot's knowledge base describes a connector for Claude that can read your CRM and, since a November 2025 update, create and update records such as contacts and deals and log notes and tasks. Claude works as you: it sees only what your HubSpot permissions allow. Write access was in public beta when that update was announced.

Read this first: the risks of letting an AI write to your CRM

An AI that can only read your CRM is low risk. One that can write is different, because a wrong edit looks exactly like a right one until someone relies on it. These are general risks of any AI with write access, not statistics about any product.

  1. It changes the wrong record. Two deals called "Northwind renewal" are easy to mix up. Reduce it: check the record name and owner on every change it shows you.
  2. It overwrites something good. A field you meant to add to gets replaced. Reduce it: ask for the old value and the new value side by side.
  3. It guesses. Told "move Kestrel forward", it may invent a stage, amount or close date. Reduce it: say the exact value, and read the change before you approve.
  4. It can do whatever your login can do. If you can edit it, so can the AI. Reduce it: keep approval on for every write and start with one record.
  5. Mistakes look like you. The HubSpot record shows your name, not "the AI's". Reduce it: know how to find who changed what, and how to put it back.
  6. Your CRM text goes to an AI provider. Some companies forbid this, and an admin may block the connection. Reduce it: ask your admin first.
  7. Text inside the CRM can carry instructions. A pasted email or note may contain lines meant to steer the AI. Reduce it: never approve a change you did not ask for.

Before you start

  • A paid Claude plan: HubSpot lists Pro, Max, Team or Enterprise. We did not find a price on its page, so check Anthropic's pricing.
  • A HubSpot Super Admin, or a user with App Marketplace Access. Anyone else needs a Super Admin to approve the connector first.
  • Your admin's agreement. If Sensitive Data is on in your account, the connector cannot access engagement data.

The steps

  1. Check the requirements

Make sure you have a paid Claude plan and a HubSpot user with the right permission. If you are not a Super Admin and cannot install apps, ask a Super Admin to approve the connector and choose who can install it.

  2. Add the connector in Claude

In Claude, open the profile icon at the bottom left, then Settings > Connectors. Click Browse, search for HubSpot and click Connect.

  3. Choose the permissions

Log in to HubSpot. On the page titled "Connecting HubSpot Connector for Claude to HubSpot", pick the permissions and click Connect app.

Tip. Grant only what you need. HubSpot says a Super Admin who changes permissions later makes every user reconnect.

  4. Turn it on in a chat

In a Claude chat click + then Connectors and switch on HubSpot.

  5. Set write tools to Needs Approval

In the connector's tool settings in Claude, set Write tools to Needs Approval, which HubSpot recommends. Always allow lets edits happen without asking you.

Watch out. Do not choose Always allow until you have watched it work on many single changes.

  6. Make one safe change first

Ask for one small change on one deal, for example a new next step. Claude asks for confirmation before writing, so you reply Yes or No. Then open the deal in HubSpot and check it. The change also appears in HubSpot's Audit Log, attributed to you and the Claude connector.

Connecting Claude yourself, as one person

This is the easiest of the three. If you own your HubSpot account or are a Super Admin, you can do every step above yourself with your own paid Claude account. If you are an ordinary user, you need a Super Admin to approve the connector first. HubSpot says its connector also needs a paid Claude plan (Pro, Max, Team or Enterprise).

Extra risks when you connect it on your own

  1. Custom connectors are not verified by Anthropic. Claude can act in the connected service with the permissions you grant, so connect only to servers built and hosted by parties you trust, and deny permissions that look unnecessary.
  2. "Allow always" removes your checkpoint. Anthropic says to choose it only for tools you trust to run unsupervised. For anything that writes to your CRM, approve each time.
  3. Research mode can call connector tools without asking. Anthropic says Claude can invoke connector tools automatically in Research mode. Turn off any tool that writes to your CRM, using the Search and tools menu, before you use it.
  4. A server can change after you approve it. Anthropic warns that server developers can change tool behaviour without notice. Re-check what a tool does now and then.
  5. Your own account is not your company's. Company data in a personal Claude account may break your employer's rules, and your IT team cannot see or govern it. Ask first.
  6. You are one click from "Always allow". HubSpot recommends Needs Approval for write tools. Choosing Always allow lets edits happen without confirmation.

If it doesn't work

I cannot connect the connector

You need to be a Super Admin or have App Marketplace Access. Otherwise ask a Super Admin to approve it.

It stopped working after my admin changed permissions

HubSpot says users must reconnect after a Super Admin changes permissions. Disconnect and connect again.

It cannot see engagement data

If Sensitive Data is on in your HubSpot account, the connector cannot access engagement data.

Claude changed the wrong deal

Open HubSpot's Audit Log to see what changed, then correct the record. Keep write tools on Needs Approval.

When connecting Claude directly is the better choice

  • You already pay for Claude and live in it for email, calendars and documents.
  • You want to ask questions of your CRM, such as "which deals have gone quiet?", and also write emails or plans in the same chat.
  • You make only a few changes at a time. HubSpot caps bulk create and update at 10 records per request.

Or do it in CRM Assist (about 2 minutes to set up)

  1. Sign in with HubSpot

Go to the CRM Assist HubSpot sign-in. No extension is needed. Installing for your account needs a HubSpot super admin or the App Marketplace Access permission.

  2. Approve what CRM Assist can access

You review the permissions and click Connect app. Your 14-day free trial starts, no credit card needed.

  3. Start editing

Your deals load from HubSpot, ready to edit.

CRM Assist works with your own HubSpot permissions, and every change is saved straight to HubSpot.

Questions

Is it safe to let an AI update my CRM?

It can be, if you keep approval on, start with one record and read each change. No AI is error-free, and HubSpot's own page for the Claude connector says Claude can make mistakes and to review its output. Treat every AI edit like an edit from a new colleague.

Can I use Claude and CRM Assist together?

Yes. CRM Assist can also be connected to Claude if you prefer to chat there (the "Advanced: use your own AI" option in the app). Meera is the built-in assistant for people who do not want to set that up.

Does CRM Assist have a limit on AI use?

Yes. Meera has a daily fair-use limit. After it, the editable grid and quick commands still work, and the limit resets at midnight UTC.

Can the HubSpot connector delete deals?

No. HubSpot says the connector cannot delete data; you delete it in HubSpot yourself.
