✓ Saved to Dynamics 365

Dynamics 365 can open a table in Excel Online, let you edit the rows, and import your changes when you save. It is handy for many small edits at once, as long as you leave the spreadsheet's structure alone.

Before you start

  • An Office 365 subscription (or an online service such as SharePoint Online or Exchange Online) and a Microsoft account.
  • A table that offers it. Microsoft says the option isn't available for every table. If you don't see it for opportunities, it isn't available there.
  • Permission to edit the records. Your changes are imported under your own permissions.

The steps

  1. Open the opportunities table

In your Dynamics 365 app, select the Opportunities table in the left navigation, and open the view you want to edit.

  2. Open it in Excel Online

On the command bar, select Export to Excel, then Open in Excel Online.

  3. Edit the cells

Change the values in the spreadsheet: stages, dates, amounts or whatever the view contains.

  4. Keep the format

Keep the existing format of the cells. Charts, calculations, extra columns and colours you add are not saved back to the app, and many changes to the layout can make the import fail.

Watch out. Don't use File > Save As in Excel Online. Microsoft says it produces a "Can't Save Workbook" error.

  5. Save

Select Save in Excel Online. Your changes are submitted for import.

  6. Track the import

Select Track Progress to see how the import is going, then check the view in Dynamics 365 to confirm the new values are there.

If it doesn't work

I don't see "Open in Excel Online"

Microsoft says the option isn't available for all tables, so it may not be offered for the table you are in. It also needs an Office 365 or online-service subscription.

My changes didn't import

Microsoft warns that the import can fail if you make numerous changes or alter the cell formats. Redo the edits without changing the layout.

I get a "Can't Save Workbook" error

You probably used File > Save As. Excel Online doesn't allow it here. Use Save instead.

The data looks out of date

If the same view was opened in Excel Online in the last two minutes, updated data may not show immediately. Wait a little and reopen.

Or do it in CRM Assist (about 2 minutes to set up)

  1. Sign in with Microsoft

Use the Microsoft account you already use for Dynamics 365. No extension is needed.

  2. Approve CRM Assist if your company asks

If your company requires approval for new apps, a Microsoft admin approves CRM Assist once.

  3. Start editing

Your opportunities load from Dynamics 365, ready to edit.

CRM Assist works with your own permissions, and every change is saved straight to Dynamics 365. Nothing is installed in your Dynamics 365 environment.
